If you've ever typed "how do I find the IP address of my printer" into a search bar at 11pm, this checklist is for you. I coordinate digital printing equipment for a production shop, and I've spent the last six years doing this with deadlines attached. The printer in front of me is rarely a desktop office machine. It's an HP Indigo digital printing press, a Roland DTF printer, or something equally expensive that decided to disappear from the network.
This is not a network engineer's guide. It's a six-step checklist I actually use when a press shows offline. It starts with the easy places to look and ends with the step almost everyone skips. Skip that last one and you'll be doing this again in a week—while a client waits.
Why the IP Address Matters More Than the Price Tag
People ask about the HP Indigo 100K digital press price a lot. I get it. That's a serious investment. A Roland DTF printer isn't a cheap toy either. But once the hardware is on your floor, the difference between "printing" and "waiting" is often just an IP address.
People think the biggest risk with a machine like the HP Indigo 100K is the price. The reality, in my experience, is that the biggest avoidable downtime is a printer that's physically fine but unreachable because its IP address changed.
I should add something about quality too. Industry standard for commercial files is 300 DPI at final size, and for brand colors we try to stay under Delta E 2 (Pantone). But a printer with the wrong IP will produce zero pages, at any DPI. So this checklist comes before the proofing conversation, not after.
Before starting, grab your router admin login. You'll need it in Step 3 and Step 6. If you don't have it, use the control panel route first. (And maybe buy your IT person a coffee later.)
Step 1: Check the Printer's Control Panel First
Most printers have a screen. Use it. On HP Indigo digital printing presses, look under Setup or Network Settings. The IP address is usually listed as IPv4. On a Roland DTF printer, open the menu, find Network or Interface, and there it is.
Write down the entire address. Dots included. I've watched someone copy 192.168.1.12 as 192168112 (yes, really).
Step 2: Print a Configuration Page
If the screen is locked or the display is broken, don't panic. Most production printers can print a configuration page. With a Roland DTF printer, a status printout often includes network settings. On HP Indigo digital printing equipment, the System Information screen can be printed or exported from the front station.
Look for IPv4 Address, not IPv6. Unless your network is one of those unusual dual-stack setups, the port you need will use IPv4.
Step 3: Log Into Your Router
This is the method I use when the printer is in the middle of a job and I can't open its console. Log into your router's admin page—often 192.168.1.1 or 192.168.0.1—and check the list of connected devices. The printer will be there under its hostname or MAC address.
It's a little slower than a control panel, but it works even when the printer's interface is being difficult. And if you're checking a whole fleet, the router page shows everything at once. At least, that's been my experience.
Step 4: Use a Network Scanner or ARP
For the laptop route: open a command prompt and run arp -a. That lists devices on your local network that your computer has talked to recently. If the printer isn't listed, you can use a free scanner like Angry IP Scanner or Advanced IP Scanner to sweep the subnet.
This is also where the printer port enters the story. The IP address is the building. The port is the door. Most network printers use port 9100 for raw TCP printing. You'll also see 515 (LPD) and 631 (IPP) in some setups. If you create a TCP/IP port with the right IP but the wrong port number, the printer will show as offline no matter what you do.
Step 5: Look at a Computer That Already Has the Printer Installed
If the printer worked last week and no one knows why it stopped, check a computer that was printing to it before. On Windows, go to Devices and Printers, right-click the printer, open Printer Properties, and click the Ports tab. The IP is right there in the port name, something like IP_192.168.1.12 or http://192.168.1.12:631/ipp.
On a Mac, open System Settings > Printers & Scanners, select the printer, and look around in Options & Supply. The IP sometimes shows there. If not, the CUPS web interface at localhost:631/printers gives you the exact port. (Should mention: this route only works if the existing config is one you trust.)
Step 6: Reserve the IP Address (The Step Everyone Skips)
This is the part I've learned the hard way. You found the IP address. Great. Now reserve it—or it will change at the worst possible moment.
What most people don't realize is that a normal IP address assigned by DHCP is a lease, not a permanent assignment. The printer might keep the same address for months. Then one morning the lease expires, the router hands out a new address, and every computer pointed at the old one goes blind.
In March 2024, a client needed a label run for an event 36 hours out. Not a huge job, maybe 2,000 sheets, but it had to ship that night. The HP Indigo was working fine the week before. Overnight, the printer got a new IP address. The print queue was still pointed at the old one, and for two hours it looked like a dead press. It wasn't dead. It was a changed IP.
We fixed it in 15 minutes once we found the new address, but we lost two hours first and paid $180 for a courier to get the job out. That's when I made a rule: every production printer gets a DHCP reservation, and the IP goes on a label taped to the machine. You don't need that rule if you never skip Step 6.
Five minutes of verification beats five days of correction.
Oh, and if you have an IT person or a managed network, talk to them before you start reserving addresses. I do not recommend swimming against someone else's DHCP policy.
Common Mistakes to Avoid
Let me end with the errors I see most often—not from some generic list, but from the operators and managers I talk to.
- Don't confuse IP and port. The IP finds the printer. The port (usually 9100) finds the service. A wrong port looks exactly like the printer is offline.
- Don't set a static IP without checking for conflicts. If you assign an address that's still in the DHCP pool, you get a conflict that shows up later as a random failure.
- Don't rely only on the printer's hostname. Hostnames can fail on DNS, and when they do, the IP is the thing that saves you.
- Don't wait for the emergency. Find the IP, reserve it, write it down when the machine is installed. That's the difference between a two-minute fix and a two-hour panic.
If you're comparing the HP Indigo 100K digital press price with a Roland DTF printer, put "network setup day" in your budget. Not because the machines are difficult to configure, but because they're too expensive to lose to a DHCP lease.
