For postage specifically, USPS rates effective July 2024 require clear, scannable barcodes with accurate placement. HP Indigo's ink density prints barcodes that read reliably at high scanner speeds. One thing to clarify: an HP Indigo is not a mailing meter. You still need postage software and finishing equipment to fold, insert, and seal envelopes. But the printed label portion—the part that carries the barcode—holds up well.
What's the fastest turnaround you've actually pulled off?
The barcode incident from the intro. A client called on Thursday at 3:15 PM. Their product launch was Saturday morning. The labels that arrived from their previous vendor had a barcode that scanning systems couldn't read—a barcode, not the design. Normal turnaround for that label job was five business days. If you need branded, waterproof, color-accurate labels for production, comparing a Phomemo to an HP Indigo is like comparing a paper shredder to a packaging plant.
The question to ask isn't "which one is better?" It's "what's my volume and do I need color?" Under 100 labels a week with no color requirement? A thermal printer is a fine choice. Thousands of labels with brand-critical color? You need industrial digital.
What should I ask a print vendor before I commit?
A quick checklist from six years of buying print:
- Plate and setup fees — get them in writing, separately from per-unit costs.
- Minimum quantities — and what happens if you need to reorder a smaller batch later.
- Revision policy — what does it actually cost to change the file after proof?
- Proof method — is it a soft proof, a digital contract proof, or "the press is the proof"?
- Steady-state turnaround — not the first-order rush, but the fifth reorder, when you're no longer the shiny new client.
That last one is the question people forget. First orders always get attention. I've watched repeat orders quietly slide into "our standard 10-day window" while the honeymoon rush gets red-carpet treatment. Ask for steady-state numbers before you sign.
And one more: ask for a test run on your actual substrate. If a vendor hesitates to print a test file on your label stock, walk away. Makeready on unfamiliar material is where the hidden problems live.
Looking back on that barcode emergency, I wish I'd asked our client three questions earlier: Who verified the barcode before print? On what scanner? At what speed? The answer—"nobody, it was a quick job"—would have triggered a verification step that cost $15 and saved us both the crisis.
